Dynamic Keywords

The Keywords Window is very handy because you can drop an entry in it into any text field or document. My suggestion is this - that each item in the Binder has a “keyword flag”, with the default being OFF. When the keyword flag is set to ON, the TITLE/NAME of that item in the Binder appears as an entry in the Keywords Window, and can be dragged to a window or field like any other keyword.

A dynamic entry in the keywords window would reflect the structure of where the parent item is in the Binder, but only showing the “nearest” parent Folder above them, or the nearest flagged document above them. For example, suppose you had the following in Research ("~ " is used to retain indentation, and Folder entries are in Italic):

Characters
~ Alice
~ ~ Bio
~ Bob
~ ~ Bio
~ ~ Extra Notes
~ The Twins
~ ~ Charlie
~ ~ ~ Bio
~ ~ David
~ ~ ~ Bio

If you set Alice to ON, you’d get an extra entry in the keywords window of:

Characters
~ Alice

If you also set David to ON, The Dynamic Entries would look like…

Characters
~ Alice
~ David

…because Twins is a document, not a folder so doesn’t show. Then we add David’s children to in the Binder above as…

~ The Twins
~ ~ Charlie
~ ~ ~ Bio
~ ~ David
~ ~ ~ Bio
~ ~ ~ Elsie
~ ~ ~ ~ Bio
~ ~ ~ Fred
~ ~ ~ ~ Bio
~ ~ ~ ~ Fred’s special legal status

…and then flag both the Elsie and Fred as ON. The dynamic entries in the Keyword Window would then look like this:

Characters
~ Alice
~ David
~ ~ Elsie
~ ~ Fred

If we flagged the Binder Entry of Twins to ON, it’d look like this:

Characters
~ Alice
~ Twins
~ ~ David
~ ~ ~ Elsie
~ ~ ~ Fred

This would be an easy way to have shortcuts to names and other text that you expect to insert regularly, because all you need to do is drag them from the keywords window. Apart from a dynamic character list, it would be handy for a list of proper terms. You might have just such a list in your reference section, each document holding a definition of the term with it’s proper name as a title. Or maybe you flag the Titles of each chapter, ready to drag it into phases like “see [CHAPTER TITLE] for more details”.

And because all it does is generate extra entries in the keywords window, it means you can still drag and drop those entries from the Binder and get the usual results. For instance, the Binder document for Charlie might simply contain his proper name “Charles Smith”, and dragging it into a document adds that text - but dragging his Keyword Window entry would add “Charlie” instead.
